View or export activity reports

Find the report you need in your Lopay app

With Lopay you’re able to run and export a range of reports to view detailed information about the activities in your Lopay account.

Tap the 'My Reports' tile on your app home page or on the 'Activity' screen to open your reporting dashboard.

In your reporting dashboard you can find a range or reports (detailed below) which can be filtered through the drop-down menu at the top of the page by either day, week, month or financial year. Please note, your financial year end can only be set once.

Note: You can only view or download reports and statements from the past 12 months.

Statements

Statements show all money coming in and going out of your Lopay account for a specific period, this includes all payments taken, payouts to your bank as well as spend via your Expense & Reward Card. You can drill into any of the transaction types for more information.

To view and export a statement:

  1. Go to Reporting > Statements

  2. Use the filters at the top to filter your statement by transaction type, team member or use the search feature if you need to narrow it down

  3. Click into the relevant report

  4. Click Download statement

  5. Select Download as CSV or Download as Excel

  6. Click Email me when done or wait for the statement to go to your downloads

Your statement will be exported as a zip file and broken down into separate files for each transaction type.

Sales Report

The sales report in Lopay shows the sales activity for a specific period of time, i.e. all payments taken via Lopay. It includes the following breakdowns:

  • Tips received

  • Taxes or VAT collected

  • Sales by channel, product, and team member

  • Lopay fees

  • Cash payments (if entered)

💡 Note: Sections will only appear if there's data for that activity.

To export the sales report in PDF:

  1. Go to Reporting > Statements

  2. Use the filters at the top to filter your statement by transaction type, team member or use the search feature if you need to narrow it down

  3. Click into the relevant report

  4. Click Download sales report

  5. Click Email me when done or wait for the sales report to go to your downloads

  6. Open up the PDF from your downloads folder

Point of Sale/Product/Stock Level report

The Point of Sale screen gives you an overview of all of the products your business has sold during a specific period if you use the Shop feature within the Lopay app.

To view your Product report :

  1. Go to Reporting > Point of sale

  2. Use the filters as needed

  3. Click into the relevant report

  4. Click Product report

Fee breakdown

To get a breakdown of the fees you have incurred:

  1. Go to Reporting > Statements

  2. Use the filters as needed

  3. Click into the relevant report

  4. Click View fee breakdown

Furthermore, the fee breakdown report includes additional details such as Gross Sales, Gross Fees, Fee Discounts, and Net Fees. Use the filters to tailor the report to your specific timeframe for a comprehensive view of your expenses.

Resolving Discrepancies and Accessing Financial Reports

Resolving discrepancies in financial reports involves understanding the timing of payouts and their relationship to your fiscal calendar. For example, payouts for sales near the end of a fiscal year may appear in the following fiscal period. To address this:

  1. Verify the date range selected in your tax reports matches your fiscal year.

  2. Check payouts processed immediately after the fiscal year ends to account for late transactions.

  3. Compare data by sales date and payout date separately for clearer reconciliation.

Additionally, financial discrepancies may arise from mismatched date ranges and payout schedules. By default, Lopay reports may use a standard date range (e.g., Monday to Sunday), while your business's payout schedule might operate differently, such as payouts occurring every Thursday.
